We like to keep things simple, fair, and transparent. A few clear ground rules help keep everything smooth, fair and fun. This is how we make sure every shoot runs perfectly - for you, for us, and for the food and drink we both love.

Here’s what to expect when you work with us:

1. Who We Work With

We only collaborate with independent venues or small, local groups - the kind of places with heart, individuality, and soul. If you’re part of a big chain or corporate brand, this one’s not for you. Our goal is to support independents who’ll genuinely benefit from what we do.

2. Our Style (and How It Works)

After the shoot, we’ll edit all your photos before sending them over. The images you receive will be fully polished and ready to use across your socials, website and other marketing.

In short: you get what you’re given. If you’re not sure whether it’s a fit, take a look at our past work first - it’ll give you a clear idea of the vibe.

If you’re selected and we arrange a shoot, we’ll send over a few short questions beforehand to make sure we know your priorities - any must-have dishes, hero drinks, or details you want to be sure we capture.

3. Timing & Availability


We both work full-time during the week, so shoots generally take place in the evenings or at weekends.
If you have another time in mind, we’re happy to chat - we just can’t always guarantee weekday availability.

4. Location

We’re based in Nottingham, but we’re happy to travel for the right project.

If you’re in Nottingham city or the local surrounding area, we’ll find our way to you - no problem.

If your venue’s a little further afield, we may ask for a small contribution towards petrol costs to help cover the journey. We’ll always discuss this up front so everything’s clear before we book.

5. What You Provide


In exchange for the shoot, you’ll provide us with food, drinks and the warm welcome you give to any guest. No invoices, no hidden costs - just great hospitality in exchange for great imagery. We’ll always agree on what’s included before the shoot, so there are no surprises.

6. Creating the Best Results

We’re good - but we’re not magicians. A big part of what makes your photos shine comes from you:

  • Beautifully plated dishes and drinks
  • Smart clothes and uniforms on any of the team you'd like to be on camera
  • A clean, nicely lit area to shoot in (we'll bring small lights but these can only do so much!)
  • Maybe a few on-brand props or table details to add personality

These things make a huge difference and help us capture your venue at its very best.

7. How We Deliver

You’ll receive a curated selection of professionally edited, high-resolution images via online gallery. These are yours to use across social media, your website and for marketing purposes. 

Our shots are aimed for digital use or small print projects - we don't recommend using these photos for (physically) large scale print as blowing them up too big will lose the detail and the nuance.

Our turnaround time is up to two weeks after the shoot - this isn’t our full-time gig, but we’ll always deliver as quickly as possible. If you need the images sooner (for a launch, event, or press), just let us know in advance - we’ll do our best to make it work.

8. Credits & Sharing

We love seeing our photos out in the wild! You’re free to use the photos however you like — online, in print, for PR, marketing, whatever helps your venue shine.

All we ask is that you credit us when you can (especially on social media). A tag goes a long way in helping us keep doing what we do and helps other venues discover us.

9. Using the Photos Ourselves

We’ll also use the photos we take for our portfolio, website and social channels (business - @youre.co.cool.media and personal - @nancy.wc and @david.the) to showcase our work and attract future collaborations. If there’s anything you’d prefer us not to share (for example, a seasonal menu item or private event) just let us know before the shoot.

10. Cancellations & Changes

Plans change - we get it. Just give us as much notice as possible if you need to move or cancel a shoot - and we'll do the same. We’ll always do our best to reschedule.

THE REALLY IMPORTANT BIT

This is a passion project, not a commercial agency. We’re offering our time, skill and editing completely free of charge to support independent hospitality. That means we reserve the right to select which venues we work with each month - purely to make sure we can give each one the attention it deserves.

We do this because we love food, drink, and the incredible people behind them. Our aim is to keep this project creative, fair and fun for everyone involved. If we both respect each other’s time and craft, it’ll always be a great collaboration.

By going ahead with a shoot or collaborating with us in any capacity, you’re agreeing to everything above. It’s all designed to make sure we’re aligned and can both focus on what really matters: creating beautiful images that do your food, drink, staff and venue justice.
